How Freightain handles your personal data · Last updated 6 July 2026
1. Who we are
1.1 AI Logistic Services, Rue des Francs Arquebusiers 31, 4600 Visé, Belgium operates the Freightain platform (freightain.com and containertransport.freightain.com, the “Service”) and is the data controller for the personal data processed through it.

2. What we collect
2.1 Account & company data: name, email, company details (enterprise/VAT number, address), role, and login credentials (passwords are stored hashed, never in plain text).
2.2 Operational data you enter: RFQs, rates, quotes, bookings, messages, proof-of-delivery and other documents you upload, and the shipments/leads you post.
2.3 Usage & technical data: log data, IP address, device/browser information and cookies needed to run and secure the Service.
2.4 AI processing: content you submit to the AI agent (rate sheets, instructions, documents) is processed to produce the structured result you asked for.
3. How we use it
3.1 To provide the Service — match members, publish rates, route leads, run the AI agent, and process bookings and invoices.
3.2 To secure the platform, prevent abuse and fraud, and meet our legal and accounting obligations.
3.3 To send service and transactional notifications (award, delay, POD, invoice, rate reminders). Marketing email is sent only with your consent, which you can withdraw at any time.
3.4 Legal bases (GDPR Art. 6): performance of the contract with you (Art. 6(1)(b)); our legitimate interests in running and securing the network (Art. 6(1)(f)); your consent where required (Art. 6(1)(a)); and compliance with legal obligations (Art. 6(1)(c)).
4. Sharing
4.1 With other members strictly as the Service requires — e.g. a forwarder you quote sees your quote; a rate you publish is shown according to its visibility scope; an awarded counterparty sees the contact details needed to perform the transport.
4.2 With the processors that run the platform, under data-processing agreements: Vercel — Hosting & content delivery; Neon — Managed PostgreSQL database (EU region); Anthropic — AI model provider (content processed to return your result; not used to train models); Resend — Transactional email delivery. We do not sell your personal data.
4.3 With authorities, advisers or acquirers where legally required or in connection with a corporate transaction.
5. AI provider
5.1 AI features are powered by Anthropic. Content sent for processing is used only to return your result; it is not used to train Anthropic’s or any third party’s models.
5.2 Please do not paste personal data you don’t need into the AI — only what the task requires.
6. Retention
6.1 We keep data for as long as your account is active and as needed for the purposes above, then delete or anonymise it — subject to legal retention periods (e.g. Belgian law requires invoices and accounting records to be kept for up to 10 years).
6.2 Deleted records are soft-deleted immediately and purged on our retention schedule.
7. Your rights
7.1 Under the GDPR you may access, rectify, erase, restrict or port your data, and object to processing based on legitimate interests. To exercise any right, email privacy@freightain.com; we respond within one month.
7.2 You may lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Rue de la Presse 35, 1000 Brussels — contact@apd-gba.be.
8. Security & international transfers
8.1 We apply appropriate technical and organisational measures: encryption in transit (TLS), hashed passwords, access controls and least-privilege data access.
8.2 Our database is hosted in the EU. Where a processor transfers data outside the EEA (e.g. a US-based provider), the transfer is protected by the European Commission’s Standard Contractual Clauses and additional safeguards.
9. Cookies
9.1 We use strictly necessary cookies to run the Service (session and authentication). We do not use advertising cookies. Any analytics or other non-essential cookies are set only with your consent.
